How to setup Google Apps Sync and use Google Apps service on MS Outlook

This article assumes that you have successfully installed Google Apps Sync on your PC. What this means is that you should be able to see several programmes in your programme list from Windows start menu.

  1. Click on Windows start menu, open the list of programmes, and choose “Set up a Google Apps Sync User”;
  2. In the dialogue that pops up, enter your Google Apps account email address and password, then sign in. As the screenshot shows;
  3. At the next screen, you have an option of importing data from existing Outlook profile to your Google Apps account. Click on the drop down list, where you should be able to see your existing Outlook profile if you are already using MS Exchange server, choosing the profile will upload all your existing email, contact, calendar etc to your Google Apps account. If you are not able to see your profile in the list, you may export your Outlook profile as PST file, and choose to import from a PST file here. If you wish to import your data to Google Apps later, or if Google Apps already has the data, you may choose not to import data, and click on create profile;
  4. The import process may take much of time, in the matter of hours, depending on the amount of existing data. You should be able to monitor the import progress window on your PC during the import. Please do NOT terminate the process before the import is completed;
  5. When the import is completed, you can open up your Microsoft Outlook and starting using Google Apps through Outlook. You most likely would not even notice the difference behind Outlook. The migration is a seamless process.

If you have chosen to skip the import data step, you may perform the import any time by going to Windows start menu, choose “Import data to Google Apps Sync” from the list of programmes. In the window that pops up, select the profile to import (or from an exported PST file), just as the steps described above.
