How to share Google Docs files

Google Docs, one of the core services within Google Apps, allows you to create, edit and share supported document types such as word document, spreadsheet, presentation. It also allows you to upload and share files of any type with a size limite of under 1024MB.

It could not have been easier to share your Google Docs files with your colleagues and others outside your organisation, such as your customers and suppliers.

First of all, the Google Apps account administrator must have enabled sharing outside the organisation. To achieve this:

  1. Log into Google Apps as administrator
  2. Click on Manage this domain
  3. Click on Service setting and choose Docs
  4. Under share options, choose Users can share documents outside domain

If the above setting is chosen, you are able to share your document by simply right clicking on the document, and choose share ->email editor/viewer.

A window will pop up, listing out the current users who have access to the file. You can add people by adding the email address, and choose whether to allow the person to view or edit the file, and you can also include a short message. If you have entered an email address that is outside the organisation, you will be warned that you are actually sharing the file with somebody outside the organisation.

The person will receive an email notification with a link to view/edit the file on your Google Docs account.
